How to Set Up Processes, Tasks and Job Cards
Create digital job cards, define manufacturing processes, and build reusable templates for machining, fitting, welding, and fabrication workflows.
What Is a Process in Stagetrac?
A process represents a type of work performed in your workshop. Common processes in manufacturing include:
- Machining - CNC work, turning, milling
- Fitting - Assembly and component fitting
- Welding - MIG, TIG, stick welding operations
- Assembly - Final product assembly
- Administration - Quoting, planning, documentation
Each process contains tasks - the specific jobs that workers perform and track time against.
Creating Processes in Your Dashboard
To set up a new process:
- Navigate to the Processes section
- Click "Add Process"
- Enter the process name (e.g., "Machining")
- Add tasks within that process
Think of processes as categories that group related work together. This makes reporting clearer and helps you understand where time is being spent.
Why Templates Save Time
Templates allow you to create repeatable job cards for common work types:
- New builds - Standard steps for building new products
- Refurbishments - Consistent process for refurb work
- Rework - Steps for fixing or correcting work
- Production batches - Repeated manufacturing runs
Once processes and tasks are defined, creating job cards takes seconds instead of minutes. Simply select a template, enter the job number, and you are ready to go.
Creating a Digital Job Card
To create a new job card:
- Navigate to Jobs in your dashboard
- Click "Create Job"
- Enter the job number (your internal reference)
- Select a category: New Build, Refurbished, Rework, or Other
- Choose a template or add steps manually
- Click "Create"
Your job card is now ready. You can print the QR code and attach it to the physical job or work order.
Printing QR Codes for Job Cards
Each job card has a unique QR code that workers scan to log time. You can print QR codes:
- Individually - Print one job card at a time
- In batches - Print multiple job cards together
- On different paper sizes - A4, A5, or label formats
Attach the printed QR code to your physical job folder, work order, or directly to the workpiece being manufactured.
How QR Codes Improve Accountability in Workshops
QR code job tracking transforms how your workshop operates:
- Workers scan the QR code when starting a task
- They sign in and out as they work on different jobs
- Supervisors see real-time progress on their dashboard
- No lost paperwork - everything is recorded digitally
This creates a clear audit trail. You know exactly who worked on what, when they started, and how long each task took.
Benefits for Workshop Managers
- Accurate quoting - Know exactly how long jobs take
- Better margins - Identify where time is being lost
- Clear accountability - No disputes about who did what
- Instant visibility - See job status without walking the floor
Tips for Setting Up Manufacturing Workflows
For Machining Workshops
Create processes that match your machine types:
- CNC Turning
- CNC Milling
- Manual Machining
- Grinding
For Fabrication Workshops
Structure processes around your workflow stages:
- Cutting / Profiling
- Welding
- Fitting
- Surface Preparation
- Painting / Coating
For Assembly Operations
Break down assembly into trackable stages:
- Sub-assembly
- Final Assembly
- Testing / QC
- Packaging
